1.How long does it take to get confirmation?

In almost all cases the reservation is confirmed within 24 hours, and more often than not within 12 hours.  A confirmation never takes more than 48 hours. If you have not heard from us within 48 hours of submitting your reservation then there is probably a problem getting email to you.

2. How do I receive confirmation?

Once we have received confirmation from the hotel, we send you an email with the details of your reservation.

3. How do I pay for my hotel?

In all cases, you pay the hotel charge directly to the hotel. In most cases you pay the room charge when you check in, and the balance (phone calls etc) when you check out. You do not pay the room charge to the JapanHotel.Net.

4. How do I get to the Hotel?

We provide full access and transport information on request, and will answer any questions we can regarding your trip to Japan. Due to the rapidly expanding nature of our business we are only providing this information for those with reservations made through our service.

5. Can I check the availability of a certain hotel?

We currently do not offer a service for checking the availability of a hotel. We have 2 reasons for this. 1, We offer a budget rate service and to check availability of a hotel costs us both time and money. 2, The situation at a hotel can change quickly in the time between we check availability and the reservation is made. The easiest option is to book a hotel and then cancel it if you are not happy with the room rate.

6. Why do I need to give a Credit Card Number if I pay the hotel directly?

The Credit Card number is used to guarantee the room. If the guest does not arrive as per their reservation, then a cancellation fee must be paid. This fee is deducted from the credit card. The only exception we will make to this policy is if the guest prepays the full hotel charge directly to the hotel by wire transfer 10 days before check in.
In order to cut down on credit card fraud, we check the validity of all cards prior to making a reservation. To this we run a transaction for sum of the first nights' accommodation. We process the transaction through to the authorization stage only. Some credit cards place a hold on this amount as they expect a purchase order to come through to complete the transaction.
As the purchase is never made, the transaction gets deleted from the system after 2-3 days.
The only time we will actually charge anything to your credit card is if there is a cancellation fee to be paid.

7. When can I book?

We accept reservations from one year in advance until noon (Japan time) on the day before check in. Unless you are already in Japan and can be reached by phone we will not accept reservation after 4PM on the day before check in. With time differences and long haul flights it is difficult to make sure a confirmation is received in time.
Some of the hotels we list only accept reservations several months in advance. For busy periods, you need to book early.

8. Can I pay using US$ or other currency?

No! Only Japanese Yen or Credit Cards may be used to pay for you room.

9. What are the cancellation penalties?

All cancellations must be submitted before 5PM Japan Time. Cancellations received after 5PM will be deemed to be received the following day.11AM on Saturdays are deemed to be received on Monday morning.
Group bookings are for 5 or more rooms or 9 or more people.
Large groups of more than 25 guests are subject to a separate cancellation agreement. Please email us for details
Cancellation Fee schedule is valid for all new reservations made from Aug 31, 2005.

10. Do you offer group or long stay discounts?

Many of the hotels on our site do offer group and long stay discounts. The rates vary a lot with the season.

11. Why do you ask for a check in time?

Almost all hotels in Japan want to know what time you are planning to arrive. It is best to give the latest possible time, as this will keep your room. If you are going to be later than the time you gave, please call the hotel directly on the day of check in.

12.Do you handle bookings for other countries apart from Japan?

No, we do not. Our service specializes in Japan only. Many global travel sites claim global coverage, but all they do is use one of the big GDS systems such as Saber or Amadeus. Their expertise extends as far as processing the reservation through their computer system, but they cannot tell you what train to take to get to the hotel, or how much the fare is. We can get all this information and answer even the smallest question you may have.

13. Why should I choose to book through JapanHotel.net?

  1. We know the industry inside out. We know what the best deal is and we know how to get it. Our site is designed to be easy to use and offer as much information as possible. We have maps and photos of all hotels, and send all of the hotel's contact details in our confirmations.
  2. Being a licensed travel agent we have an obligation to maintain industry standards, and provide a truly professional service. Also as a registered travel agent we have a bond lodged with the Japanese Government. This protects customers in the event of any financial difficulties.
    Always be wary of sites that do not display travel agents registration data on their home page. All companies operating in as travel agents or booking agents in Japan are required to be registered with either the Ministry of Land and Infrastructure, or by the prefectural governor in their location. Sites that are not registered are in contravention to Japan Travel Law, and you will have no claim if something goes wrong on your trip.
  3. We treat all our clients data with the utmost privacy, and do not divulge any of the information supplied to us to any outside party. (See our privacy policy)
  4. Our site uses the latest 128bit encryption for all sensitive information, and our company documentation has been validated by THAWTE before the issuance of our secure certificate. Always be wary of sites that claim to offer secure server access yet the domain of the secure server is different from their own. These sites take your information and email it to themselves, defeating the purpose of a secure server. Only trust sites that have their own secure server, and display a live link to verify the authenticity of the certificate.

  5. Always be wary of sites that do not offer a telephone number on their websites. You have no way of contacting them in case of an emergency. JHN Travel Ltd telephone number is 81-261-75-5360 (or 0261-75-5360 if dial in Japan). While we prefer to communicate with customers by email, we are always happy to take your call during our business hours.

14. What conditions do you have for making reservations?

We require that all guests accept the conditions listed here. As guests pay directly to the hotel, and the rooms are not prepaid, we have to cover ourselves legally for any cancellation fees.
Our business operates within the strict guidelines of the Japanese Travel Law, and we are registered with both local and national government.

15. I'm traveling with my children. Can they share my bed free of charge?

Each hotel has it's own policy regarding children. In most business hotels you can share a bed with a small child (under 5 years) free of charge, but children over 6 years require their own bed. In Japanese style Inns, it will depend on whether the child needs a futon or meals as to how much the inn will charge. Some places charge a small fee for children sharing a bed.

16. Do you offer Non Smoking Rooms?

Many hotels now offer Non Smoking Rooms. Please request when making a reservation. We cannot guarantee a certain hotel will have Non Smoking Rooms available but we will make a request when making a reservation.

17. What is a Semi Double Room?

A semi double room is a room with a bed about 120cm wide. They are usually single rooms, but when 2 people share the room, they call it a semi double room. If the guests are not too large it can be OK for 2 people, but for people used to sleeping in larger beds it can be uncomfortable.

18. What should I do if I need to cancel at the last minute?

In general, all cancellations must be processed through JHN Travel via the JapanHotel.net website. However, If the cancellation is a last minute one, we encourage guests to cancel directly with the hotel. The hotel phone number and fax number are on the confirmation forms.

19.What documentation do I need to show?

The only documentation required at check in is passport or alien registration card. We recommend you print out the confirmation form as this will help the hotel find your reservation in their database.

20. Do you have discounts for Airline Staff and Travel Agents?

At this stage we are unable to provide discounts for Airline Crew or Travel Agents
